Export files

What the columns in your export actually mean.

You pulled a report out of your practice software and now you are looking at a row of column names. These pages say what each column holds, which ones decide whether the practice makes money, and which ones we cannot confirm. One page per file we have actually held.

The files we can explain

  • Keystone Practice: Snapshot templateThree files: one row per clinician, one row per clinician per pay period, one row per month.32 columns · no client rows, so it goes straight in
  • SimplePractice: Appointment statusOne row per appointment, with what it was billed at and what has been paid on it.11 columns · has client rows, so remove the client data first
  • SimplePractice: Outstanding balancesOne row per client, showing what was billed, what was paid, and what is still owed, with the clinician attached.7 columns · has client rows, so remove the client data first
  • SimplePractice: Income allocationOne row per payment, with the clinician who earned it and the day it landed already on the row.13 columns · has client rows, so remove the client data first
  • WebABA and enSora: Daily BillingOne row per service per day, and it names who delivered the session rather than who signed the claim.7 columns · has client rows, so remove the client data first
How these are written

Only files we have actually held

Every column name on these pages was read off a real export or off a template we publish ourselves. None of it is reconstructed from what a vendor’s documentation implies, and none of it is filled in from general knowledge about how billing software tends to work.

That rule costs us pages, and it is worth it. A confident wrong answer about which column is billed and which is collected does not read as a guess. It reads as an answer, and somebody prices a clinician off it. So where we hold a column name but not a confirmed meaning, the page says so and leaves the column alone.

When a real export gets shared with us, the header row is all that is ever read. The data underneath it is not opened.

Files we have not written up

These are reports practice owners really hold, and none of them has a page here, because we have not seen what their columns are called. This list is what the reference is missing, stated plainly rather than filled in.

  • SimplePractice: PayoutsMissing: the header row. We hold this account's other reports, not this one.
  • TherapyNotes: Revenue Report and Billing TransactionsMissing: the header row. We know the reports exist and roughly what they carry, which is not the same as knowing what the columns are called.
  • Jane: Compensation ReportMissing: the header row. Jane's own documentation describes the sections, not the exported columns.
  • TheraNest and enSora: Service Billing and Payment reportsMissing: the header row. The support pages that would carry it do not render for us.
  • IntakeQ and PracticeQ: Export Invoices and Export PaymentsMissing: the header row. The documentation names the three exports without publishing their columns.
  • Healthie: AR AgingMissing: the header row. The fields are described in words; the literal column names are not published.
  • Sessions Health: Income Allocation and PaymentsMissing: a real export to confirm the documented column list against.
  • Upheal: any export at allMissing: confirmation that a downloadable export exists. Nothing public describes one.
  • Gusto: payroll registerMissing: the header row. Payroll is half of practice economics and we have not seen this file.

Already holding the file?

If the export names clients, the first step removes that on your own computer and hands back clinician-level totals. If it does not, it goes straight into the free Snapshot. Either way nothing is uploaded.
