There's a temptation, once you start measuring a practice, to measure everything. Don't. A dashboard with thirty numbers gets ignored. A short list you actually check every month is worth far more. Here are the six. The bands are the ones we use in the Snapshot.

We know because we started with exactly that temptation, tracking everything. It became overwhelming before we realized it was. We found ourselves a bit paralyzed by where to spend our attention, and glossing over the wall of numbers instead of really considering each one.

How full your clinicians are. Their clinical hours against what their schedules could hold. This is utilization, and it's the engine. An empty slot is revenue you can't get back. For an established clinician, somewhere around 85% and up is healthy.

What you pay clinicians as a share of revenue. Total clinician comp divided by the revenue they generate. It's usually your largest cost, so it's the first place margin trouble shows up. Comfortable is under roughly 62%; past 70%, something needs a look.

Net margin. What's actually left after everything. North of about 10% is a healthy small practice. Near zero or negative means the model needs work, not just a busier month.

Revenue per clinician. Tracked over time, it tells you who's ramping and who's sliding, earlier than the P&L will.

Months of cash on hand. Your reserve divided by monthly expenses. This is the number that lets you sleep, and the one that decides whether a slow month is a non-event or a crisis.

Collected vs. billed. The share of what you bill that actually arrives. If you take insurance, this is where money goes missing.
